Job Overview
We are looking to add a receptionist to our team. The ideal person would be professional, friendly and have strong multi-tasking skills. They would also enjoy a busy work environment and have a willingness to support a high performing team in a wide range of administrative duties.
In this position in general you would:
- Perform a variety of administrative tasks such as answering phones, taking messages screening calls or providing information to callers.
- Maintain a welcoming and neat reception area by straightening reading materials, making coffee and other duties needed to maintain cleanliness throughout the day.
- Greet visitors and clients and properly check them in or otherwise facilitate a resolution to their needs.
Responsibilities
- Operate a telephone switchboard to answer, screen or forward calls.
- Take messages and ensure that the correct person receives the message in a timely manner.
- Provide friendly customer service to clients by listening to and working to resolve complaints.
- Collect, sort, distribute or prepare mail for courier deliveries.
- Schedule meetings and appointments.
- File and maintain paper or electronic records.
- Provide information to callers and visitors such as address, business hours, give directions and basic information about services.
- Receive and record payments received for services.
- Provide administrative support such as making copies, ordering lunch, organizing meetings, preparing documents and similar tasks.
Requirements and Skills
- High school diploma is required. An Associates degree is highly desirable but not required.
- 1 year experience in office clerical experience.
- Proficient skill in Microsoft Word, Excel and PowerPoint.
- Experience using a multi-line phone system.
