Front Desk Receptionist- Jacksonville Florida
Essential Functions:
- Print out encounter forms
- Greet patients and other visitors to the office
- Obtain patient information, making sure all patient information is completed and appropriate signatures obtained
- Copy insurance cards and ID as required
- Updates insurance information when needed
- Makes sure all necessary forms are signed and scanned into EMR system
- Create new patient chart if needed. Update established patients’ information.
- Schedule and verify routine patient appointments
- Verify office charges, collect co-pays and outstanding balances from patient
- Update or enter patient information into system as required
- Notify patients of previous balances
- Run daily schedules and distribute
- Reschedule appointments as necessary
- Answer telephones
- Pull patient charts
- Observe strict patient confidentiality
- Follow up on patient no shows
- Obtain all OB contracts and other pertinent paperwork form the patient at the time of their arrival
- Verify appropriate referrals with HMO patients, confirm physicians are indicated as primary OB/GYN with the HMO
- Assist with all filing as needed
- Schedule return appointments as necessary
- Process credit card payments as necessary
- Performs other tasks and duties as required
- Cross train to other front office positions as needed
Reports to:
Operations manager / Practice Administrator
Authority / Decision Making:
To make decisions and recommendations appropriate with the above responsibilities in conjunction with the Practice Administrator and / or Office Manager.
Requirements
Electronic Medical Records / Appointment Specialist
- High school education, degree preferred, with secretarial or business training
- Accurate typing and communication skills
- Knowledge of medical terminology helpful
- Ability to exercise flexibility and adaptability in work habits and to effectively work well with others
- Strong customer service skills
HIPAA Minimum Necessary Standard and Need to Know:
An appointment secretary will have access to medical and computer records within their division to complete the tasks assigned to their role. They should not look at computer or medical records for patients they are not providing services for or using to complete their specific job functions. Computer security functions are assigned to job classification.
Physical Demands:
While performing the duties of this position, the employee is required to stand, walk and sit. Must use hands and fingers with fine motor skills, reach with hands and arms, climb stairs, balance, stoop, kneel, crouch, talk and hear. The employee must occasionally lift and / or move up to 50 pounds. Vision abilities required by the job include close vision, distance vision, peripheral vision, depth perception and the ability to adjust focus.
OSHA Classification group:
Employee Group Two – offer Hepatitis B Vaccination within 10 days and thoroughly trained in office infection control.
